ROLE: Residential Legal Secretary/Assistant

DEPARTMENT: Conveyancing

LOCATION: Swindon

REPORTS TO: Conveyancing Executive

JOB SUMMARY/MAIN PURPOSE

To provide a comprehensive and professional administrative support to the firm’s Conveyancing Executive.

Incorporating a first point of contact with clients/solicitors/estate agents by phone.  

To ensure an effective and professional focused support for the office at all times.

This role involves a consistently high standard of professional practice and client care.

This is a temporary role, on a full or part-time basis, Monday to Friday, with an emphasis on providing residential conveyancing support to the Conveyancing Executive and the Legal Team.  

MAIN DUTIES & RESPONSIBILITIES

First point of contact for all client/solicitor/estate agent enquiries by telephone.

Act as conduit to direct client/solicitor/estate agent enquiries to the Conveyancing Executive.

Ensure that all telephone calls are dealt with in a professional manner and to maintain  an accurate record of all telephone calls.

Set up new case files.

Post matching on a daily basis.

Prepare financial slips for monies coming into the client account.

Ensure compliance with all legal and administrative requirements governing the conveyancing practice.

Support the Conveyancing Executive with the processing of residential conveyancing tasks and activities.

Provide administrative support to the Legal Team as and when required.

Deal with preparation, completion and submissions through the land registry portal.

Keep the Lender Panel websites up to date as transactions progress.  

KEY COMPETENCIES/REQUIREMENTS

Excellent communication skills and attention to detail.

Good organisational skills.

Ability to work well as part of a small team.

Ability to prepare residential conveyancing documents using the firm’s case management system.

Computer literate.

Previous experience with Residential Conveyancing is essential for this role.
